What this page is for

The club runs a photo contest. Members submit aviation photographs, the Board of Directors judges them, and there are prizes. This page is where you enter, see what everyone else has entered, and see who won.

The page changes depending on where the contest is

Open it at different times of year and you will see different things. This is the single most common source of confusion, so it is worth knowing which state you are looking at. If you came here to enter and there is no upload form, the window is shut. Nothing is wrong with your account.

Entering

When submissions are open:
  1. Choose your photograph — or several. You can submit more than one.
  2. Read the consent statement and tick the box. The form will not submit without it. The exact wording is set per contest, so read it rather than assuming it is the same as last year.
  3. Click Upload Photo(s).
Accepted formats: JPEG, PNG, WEBP, HEIC and HEIF. Maximum 20 MB per file.
Photographs straight from an iPhone work. iPhones save as HEIC, which many systems reject. This one converts them for you. You do not need to export or convert anything first.
You are confirming the photograph is your own work and that the club may use it. That is what the tick box means, and it is recorded with your entry. Do not enter a photograph somebody else took, even with their blessing — the consent you are giving is about your own authorship, and you cannot give it on their behalf.

After you enter

Your own entries appear on the page, so you can confirm they arrived. There is also a gallery of all entries in the contest. The gallery does not show who submitted what, and it does not show winners while a contest is in progress. That is deliberate: the board judges without knowing whose photograph is whose.

If you are on the Board of Directors

Directors cannot enter. The board selects the winning photographs, so entering would be judging your own work. The upload form is absent for directors, and the restriction is enforced when a submission is made as well, so there is no way around it. Everything else works normally — you can see the gallery and the winners. Entries you submitted before joining the board are left alone; they are not withdrawn. Judging itself happens in a separate tool, not on this page.

Winners and prizes

When judging finishes, the winners appear in the gallery here. Prizes are club gift certificates. If you win, you receive an email with your certificate, which you then redeem like any other — see Redeeming a gift certificate. One prize per member per contest. If you place more than once, you receive one prize.

Troubleshooting

There is no upload form. Submissions are not currently open, you are a director, or your membership is suspended. The first is by far the most likely. Your upload failed. Check the format and the 20 MB limit. A photograph straight off a camera can exceed it — use an export or “smaller size” option. You want to withdraw an entry. There is no self-service removal. Contact the club. You cannot see who won. Winners appear once judging is complete and the results are published. During judging, nothing is shown. You won but no certificate arrived. Check spam first, then contact the club — prize certificates are issued by an administrator and can be resent.
