What this page is for

My Document Uploads is how you get paperwork to the club — your medical, a new flight review, a checkout, a safety meeting certificate. You upload it here, an administrator reviews it, and your club record is updated from it. There is a second route: emailing documents in. This page is the more reliable one, because it gives you the upload history and tells you what happened.

What you can send

Choose a Document Type from the list: Choosing the right type matters — it is what tells the reviewer which part of your record to update. If you are unsure, use Other and say what it is.

File types and size

Accepted: PDF, JPEG, PNG, GIF, WEBP, HEIC and HEIF. Maximum size: 20 MB per file.
Photographs from an iPhone work. iPhones save photos as HEIC, which most systems reject. The club’s site converts them to JPEG for you on upload — you do not need to change any settings or convert anything first. A photograph of a document taken with your phone is a perfectly good submission.
If a file is too large, photograph the document again at a lower resolution, or use your phone or scanner’s “smaller file” option. Splitting a long PDF also works — upload each part separately.

Uploading

  1. Choose the Document Type.
  2. Select your file.
  3. Submit the form.

Below the form is every document you have sent, newest first, with its type, filename, size, date and status. Click any row to open it. A blue Note badge means an administrator has written something you can read. Open the document to see it.
You only ever see notes meant for you. Reviewers also keep internal notes, and those are never shown here or signalled by the badge.

Opening a document

The detail page shows the document’s type, filename, status, any notes for you, and a link to view the file itself. You can delete a document only while it is Pending Review. Once it is approved, rejected, or on hold, the delete button is gone — a reviewed document is part of the club’s records, and removing it is an administrator’s job. If you uploaded the wrong thing and it has already been reviewed, contact the club. You can only open your own documents. A link to somebody else’s will not work, however you came by it.

If a document is rejected or put on hold

Read the note first. Most rejections have a simple cause — the wrong page of a multi-page document, an expired item sent by mistake, or a photograph too dark to read. Fix what the note asks for and upload it again as a new document. There is no way to replace a rejected document in place, and you should not need to delete anything — the history keeping both is intentional.

Automatic deletion

The club removes reviewed documents after a retention period. When that is in force, a Delete Date column appears in your history and on the profile panel, showing when each document is due to go. This is a records-retention policy set by the club, not something you control, and it applies only after a document has been reviewed. Your club record — your currency, your certificate details — is not affected when the underlying document is removed.

Troubleshooting

The upload failed with “File type not allowed.” The file is not one of the accepted formats. A screenshot or a photograph of the document is the easy fix. The upload failed with “File too large.” The limit is 20 MB. Re-photograph at a lower resolution or split a long PDF. Your document uploaded but your currency has not changed. It is waiting for review. Currency updates when a reviewer approves the document, not when you upload it. You uploaded the wrong file. Delete it if it still shows Pending Review. Otherwise contact the club. You cannot find a document you sent in months ago. It may have passed its Delete Date — see above. The record it updated stands regardless. You emailed a document instead and it has not appeared. See Sending documents by email — the most common cause is sending from an address the club does not have on file.
