You can email documents to the club instead of uploading them. Send them to:docs@pcflyers.org
Your message is matched to your membership, your attachments are filed against your record, and
they appear in your documents exactly as an upload would — same review, same
statuses, same notes.
This is the convenient route when you are on your phone and the document is already an email
attachment. Uploading is the more reliable one, because you choose the
document type yourself and you can see immediately that it arrived.
The one rule
Send from an email address the club has on file for you. That is what identifies you. There is
no other way for the club to tell whose documents these are.
What to send
- Attach the documents. PDFs and photographs both work.
- Put something useful in the subject line. It is recorded with your submission and helps the reviewer.
- Your message itself is kept too, converted to a PDF and filed alongside any attachments — so a note explaining what you are sending is worth writing, and an email with no attachment at all still reaches the club.
What you get back when it works
A confirmation email listing:- the subject of your original message,
- when it was received, and
- the file(s) that were filed.
Do not re-send after a confirmation. Sending the same documents again creates duplicate
records that somebody then has to clean up. If the confirmation arrived, it worked — track it on
your documents instead.
What you get back when it does not
Two things can go wrong, and each has its own reply.Your address is not on file
Your message was received from an email address that is not on file with Pacific Coast Flyers. Please resend your documents from an email address registered in your Schedulemaster account. Your original email was not retained — your documents must be resubmitted.The important part is the last sentence. A rejected email is not kept, so there is nothing for the club to recover and nothing waiting to be matched up later. You have to send it again from a recognised address, or upload it instead — which always works, because you are signed in.
Your address matches more than one account
Your message was received from an email address that matches multiple member accounts. If you have multiple accounts they must use different email addresses. If you believe this is an error please contact PCF management. Your documents must be resubmitted once the account issue is resolved.This means the same address is on file against more than one membership, so the club cannot tell which record your documents belong to. It has to be sorted out on the accounts before email submission will work for you — contact the club. In the meantime, upload your documents.
Troubleshooting
You sent documents and heard nothing at all. Check spam for the confirmation or the rejection — both are emails and both can land there. If neither arrived, allow for the collection schedule, then contact the club. You got the “not on file” reply and you are certain the address is right. It may be an address you use that the club has never been given, or one that has changed. Check your Contact Information on your profile. Remember that the profile shows what was read at your last sign-in. You are not sure whether it worked. Sign in and look at your documents. If it is there, it worked. Do not send it again on spec — that is what creates duplicates. You sent the wrong file. If it shows as Pending Review you can delete it yourself. Otherwise contact the club. It keeps failing and you need the document in now. Upload it. Signing in removes the identification problem entirely.Related
